This policy explains what personal data Ride Dispatchers collects, why we collect it, how long we keep it, and what rights you have over it. It covers three groups of people: visitors to this website, staff at the fleet businesses that hire us, and the passengers whose calls and bookings we handle on our clients' behalf.
1. Who we are
Ride Dispatchers ("we", "us") is an outsourced taxi dispatch and contact-centre business with its operations office at Latif Center, Office # 60, 2nd Floor, Block D1, Gulberg III, Lahore, 54000, Pakistan.
Our role changes depending on whose data it is:
- For website visitors and sales enquiries, we are the data controller — we decide what to collect and why.
- For rider and booking data handled on behalf of a fleet, we are a data processor. The fleet is the controller; we act only on its documented instructions under a written data processing agreement.
2. What we collect
2.1 When you use this website
- Enquiry form data — your name, work email, company name, dispatch platform, and whatever you write in the subject and message fields.
- Newsletter sign-up — your email address, if you submit it.
- Usage analytics — pages viewed, approximate location (country/city level), device and browser type, referring site, and anonymised interaction recordings collected through Microsoft Clarity. See our cookie policy for detail and how to opt out.
- Server logs — IP address, timestamp and requested URL, retained briefly by our hosting provider for security and abuse prevention.
2.2 When we run your dispatch desk
Acting as a processor for a fleet client, our agents handle:
- Passenger name, contact number, pickup and destination addresses, and booking notes.
- Call recordings and chat transcripts, where the client has enabled them.
- Driver and vehicle identifiers needed to allocate a job.
- Payment status flags — we do not take, store or process card numbers.
This data lives in the client's own dispatch platform (for example Cabica, Autocab, iCabbi, Cordic or TaxiCaller). Our agents access it through named accounts issued by the client. We do not copy it into our own systems.
3. Why we use it

4. Who we share it with
We do not sell personal data and we do not share it for third-party advertising. We use a small set of service providers, each bound by contract:
- Vercel — website hosting and content delivery.
- Formspree — processing of website enquiry form submissions.
- Microsoft Clarity — website analytics and session insights.
- Google — Search Console, Business Profile and embedded maps.
- The fleet client's own dispatch platform — where booking data is created and stored.
We may also disclose data where we are legally required to, or to establish or defend a legal claim.
5. International transfers
Our operations team is in Pakistan, which the UK and EU have not designated as providing an adequate level of data protection. Where we handle personal data originating in the UK or EEA, transfers are covered by the UK International Data Transfer Addendum or EU Standard Contractual Clauses, supported by the technical and organisational measures set out in our GDPR and data protection page.
6. How long we keep it
- Sales enquiries: 24 months from last contact, then deleted.
- Newsletter subscribers: until you unsubscribe.
- Analytics data: as per Microsoft Clarity's retention schedule, currently 13 months.
- Client booking and call data: we set no retention period of our own — the fleet client's schedule applies, and the data stays in their platform.
- Contract and billing records: as required by applicable tax law.
7. How we protect it
- Named, individually accountable agent logins — never shared credentials.
- Role-based access, so agents only see the accounts they are staffed on.
- Encryption in transit (TLS) for all web and platform access.
- A clean-desk floor policy: no personal phones, cameras or removable storage on the operations floor.
- Signed confidentiality undertakings from every agent before they take a live call.
- Quarterly access reviews, with same-day revocation when someone leaves an account.
8. Your rights
Subject to the applicable law, you may ask us to give you a copy of your data, correct it, delete it, restrict or object to how we use it, or provide it in a portable format. You may also withdraw consent for analytics at any time.
If your request relates to a booking or a call handled for a fleet, we will pass it to that fleet as controller and support them in responding, normally within five business days.
If you are in the UK you may complain to the Information Commissioner's Office at ico.org.uk. In the EEA, contact your national supervisory authority.
9. Children
Our services are sold to businesses and are not directed at children. We do not knowingly collect data from anyone under 16 through this website.
10. Changes to this policy
We will update this page when our practices change, and we will move the "last updated" date at the top. Material changes affecting fleet clients are notified directly under the data processing agreement.
